Mines Account Claim

Information & Technology Solutions (ITS) welcomes you to Mines!

Mines accepted applicants, students, faculty, staff and some affiliates may access various Mines computing resources. Most computing resources are available using your Mines credentials (your campus username and password).

NOTE: Multi Factor Authentication (MFA) is mandatory for all Mines computer users, so please be sure to read the instructions (see box below) for setting that up.

IMPORTANT NOTE: During Account Claim, you will select your campus username. Please choose carefully. Your campus username will be used during your time at Mines to login to Mines computer systems and as the username portion of your Mines email address (for roles that include email access). If possible, we recommend that you choose a shorter username.

If there is a problem with the username choices presented or if you have a multi-part family name that produces long username choices, DO NOT complete the Account Claim process. Please suggest or ask for alternate usernames via the Mines Help Center “Helpdesk” MultiPass Account Claim Issue form.

Once you select your username, please write it down. It will be the first part of your Mines email address. (For example, username=joeuser, email address=joeuser@mines.edu.)

A little extra guidance for choosing the options below:

  • If you have EVER had a Mines username before (returning students, graduate students, former SUMMET students, etc), please choose the Returning People section.
  • If you try to run Account Claim and get the “This account has already been claimed…” message, please follow the instructions in the Returning People section.

MANDATORY Multi Factor Authentication

New Mines Accepted Applicants

New Mines Accepted Applicants (e.g., applicants who have been accepted to Mines, but have not yet decided if they will attend classes at Mines)    [Effective as of March 1, 2016]

  • After you have been accepted to attend Mines, you will be sent an Acceptance Letter. You are eligible for access to Trailhead (the Mines portal) so that you can review your Financial Aid award “shopping sheet”. (If you decide to become a Mines student, additional access will be applied to your account once your intent to enroll (IE) is applied to your school record.) After you submit your intent to enroll, sometimes it takes a day or two for your status to be updated in your school record. If you submitted your intent to enroll/deposit more than three days ago and still are unable to access Mines email, etc., please let us know via the Mines Help Center “Helpdesk” MultiPass Account Claim Issue form and we will investigate.
  • Your account claim window is through the end of month in which you will start classes. (E.g., for Fall terms, which start in August, you will have until the end of August to claim your account.) The Account Claim web page is found at:  https://my.mines.edu/
  • You will need your Campus Wide ID (CWID) — a numeric string — to claim your account. You should have received your CWID during your application process. If you no longer have your CWID, please contact the Undergraduate Admissions Office or the Graduate School for help.
  • If you miss your claim window, please ask for your Account Claim Window to be extended via the Mines Help Center “Helpdesk” MultiPass Account Claim Issue form.
New Mines Students

New Mines Students (e.g., applicants who have officially submitted their intent to enroll to the appropriate Mines Admissions office)
NOTE: If you were a previous Mines student or employee, see Returning Mines Students or Employees below.

  • If you already claimed your computing account at the Accepted Applicant stage, once you submitted your intent to enroll (IE), additional access was/will be automatically applied to your account. In addition to Trailhead access, access will be granted to: Mines email, ADIT, Canvas, DiggerNet, OrgSync, and other MultiPass enabeled systems. After you submit your intent to enroll, sometimes it takes a day or two for your status to be updated in your school record. If you submitted your intent to enroll/deposit more than three days ago and still are unable to access Mines email, etc., please let us know via the Mines Help Center “Helpdesk” MultiPass Account Claim Issue form and we will investigate.
  • If you have not already claimed your computing account: After you submit your intent to enroll (IE) at Mines, you will be sent a confirmation indicating that your IE has been received and entered into the system. Your account claim window is through the end of month in which you will start classes. (E.g., for Fall terms, which start in August, you will have until the end of August to claim your account.)   • You will need your Campus Wide ID (CWID) — a numeric string — to claim your account. You should have received your CWID during your application process. If you no longer have your CWID, please contact the Undergraduate Admissions Office or the Graduate School for help.

Continuing Students or Employees

Continuing Students or Employees (e.g., already have a Mines username and working computing access; continuing, switching from undergraduate to graduate student, switching from student to employee, or switching from employee to student)

  • For continuing students, students switching from an undergraduate to graduate program, employees switching to student, or students swtiching to employee, your current account/access will be continued. You will keep the same campus username/password(s).
  • You don’t need to run Account Claim. (Technically, you can not run Account Claim.)
  • For additional information please see ITS Account Changes.
  • If you are switching from a student to an employee (or employee to student), the default is for you to keep your existing email account.
  • You may be assigned additional access based on your new role(s).
  • If you have questions about your access (e.g., Mines email), please ask via the Mines Help Center “Helpdesk” Login Issue form.
Returning People (Anyone who was previously issued a Mines username)

Returning Mines Students or Employees (e.g., anyone who was previously issued a campus username and your account has been disabled)

  • [23-MAR-2015] We do not currently have an on-line Account Claim process for returning students and employees.
  • If you were previously issued a campus username or receive an error notice when you try using the Account Claim process, please submit a Mines Help Center “Helpdesk” Returning User Request for assistance. A staff member will verify your eligibiltity for Mines computing access and re-establish your account. To complete the process you will most likely need to set a new MultiPass password. Instructions will be sent to you for setting a new MultiPass password.
  • If your name has changed since you were last here, you can request that your account be re-established with a username that reflects your current name. Please include any name change information with your Mines Help Center request. (It is easier to change your username before your account is re-established than after.)
  • NOTE: Your account and computing access will not automatically be re-established. After you left Mines before, some or all of your Mines computing access was disabled. While your Trailhead access may still be open, your email and other access will need to be re-established.  You must request that your account be re-established via a Mines Help Center “Helpdesk” Returning User Request.
New Mines Employees

New Mines Employees (anyone not previously employed by Mines)

  • After you have been entered into Banner by Mines Human Resources or Academic Affairs, you should receive a notice from them indicating that you are eligible to claim your Mines computer account. You will NOT get any logon credentials until the first day of your hire. You will have 60 days after you have been entered into the school HR system to claim your computing account.   • You will need your Campus Wide ID (CWID) to claim your account. Most employees will receive their CWID in one of three ways: (1) Via PageUp after you have accepted your employment offer. (2) On your first day of work from HR. Or (3) for most new faculty, from Academic Affairs with your Faculty Welcome package. If you no longer have your CWID, please contact Mines Human Resources for help.
  • If you miss your claim window, please ask for your Account Claim Window to be extended via the Mines Help Center “Helpdesk” MultiPass Account Claim Issue form.

New Visiting Students

New Visiting Students:  (e.g., REU participants and other sponsored student group programs)

  • The username that you select now will also be your username later if you return as a Mines student or employee.
  • Your account claim window is through the end of month in which your program starts.
  • After everyone in your group has run account claim, your group sponsor will contact the Identity team to apply the requested Mines computing access.
  • Your access will be based on the request from the group sponsor. Typically your access will not include email access. But, later if you return as a Mines student or employee, the username you select now, will become the username portion of your campus email address.

  • You will need your Campus Wide ID (CWID) — a numeric string — to claim your account. You should have received your CWID from your group sponsor. If you do not know your CWID, please contact your group sponsor.
  • If you miss your claim window, please ask for your Account Claim Window to be extended via the Mines Help Center “Helpdesk” MultiPass Account Claim Issue form.

Affiliates

Affiliates: (e.g., Foundation Employees, Alumni Association Employees, Mines Associates, Sodexo Employees, Bookstore Employees)

  • We have an on-line Account Claim process for some Mines Affiliates, but some manual processes may need to be done after you run account claim.
  • Please follow any specific instructions that you have been given, contact your sponsor, or submit a Mines Help Center “Helpdesk” support request for assistance. You can choose from applicable topics on the Mines Help Center Logins & User Accounts service catalog page – https://helpcenter.mines.edu/TDClient/Requests/ServiceCatalog?CategoryID=11025. If needed, a staff member will coordinate with you for an appointment at ITS or over the phone, to assist with establishing your Mines computing account/access.
  • If your instructions directed you to run account claim, the Account Claim web page is found at:  https://identity.mines.edu/
    • You will need your Campus Wide ID (CWID) — a numeric string — to claim your account. You should have received your CWID along with your instructions. If you do not know your CWID, please contact your sponsor.

If you become a Mines student, additional access within Trailhead will be assigned, as well as access to email, the campus computer labs, etc.

Mines computer systems that can be accessed now via MultiPass. (Actual access is based on campus roles.):

    • For students, Trailhead gives access to grades, financial aid awards, registration, transcripts, and much more (including one-click access to other services).
    • For employees, Trailhead gives access to employment records (such as pay stubs and tax forms), finance information and reports, and much more (including one-click access to other services).

  • Canvas [ info | login ] The campus-wide learning-management system provides access to course syllabi, assignments, online quizzes, tests, exams, grades and more.

  • Engage [ login ] — the student-organization portal (replacing OrgSync)
  • ADIT: Log into Windows computer labs throughout campus.
  • Chrome River travel and expense management system [ info ]
  • Campus Linux lab computers.

  • Lon-Capa [ login ] — Physics learning online.
  • The Mines Virtual Private Network (VPN) [ info ] — required for connection to many school resources from off campus.
  • The Library Patron system [ infologin ] — Reserve books, check due dates, etc.
  • ODS/Cognos  — report and report writing tools for administrative offices.
  • Cayuse — web-based research proposal and award management system.
  • Mines Help Center (“Helpdesk”) [ info | login ]: Browse I&TS services, submit computing questions or issues, view the status of your Helpdesk tickets. NOTE: for new employees, it may take up to 3 days after the start of employment for your access to Mines Help Center to be activated. If it has been more than 3 days, please report the problem via the Mines Help Center Login Issue form.
  • Most of the Web Content Management System: main sites (www.mines.edu), personal home pages (people.mines.edu), student Organizations (orgs.mines.edu)

ITS is working to connect MultiPass to the additional services (but in the meantime we will provide alternate access to these resources):

  • Some Banner and Banner-Related Services [info]:  Banner is the campus system for student, employee, and finance records. Students, employees, and faculty use Banner Self-Service to access their related records (e.g., registration, grades, pay stubs, and more). Administrators access Internet Native Banner (INB) to manage campus records. Other Banner-related services are: ePrint (financial reports), and ODS/Discoverer. (ODS/Cognos, TEM, and Cayuse already use MulitPass credentials for authentication.)
  • DiggerNet [ info | login ] — the Career Center portal
  • The Parking Services system [ info | login ]

Eventually MultiPass will greatly reduce the number of different passwords that campus users will need to remember. (As an analogy, using a MultiPass account to access a wide variety of Mines services will be similar to using your Google or FaceBook credentials to log into services provided by other organizations.)

This process of adding systems that use MultiPass for authentication is ongoing.
